Consider this important
information before applying for a booth space.
Applications will be accepted until space is no longer available. The application requires that you choose an area and booth size. We will attempt to honor preferences for space, taking into consideration:
- The number of years you have been a vendor at Washington County Fair & Rodeo;
- The date your application was received; and
- The compatibility with other vendors. Fair Management reserves the right to designate the space where any Licensee may present their exhibit as it is deemed beneficial to the Washington County Fair & Rodeo and its patrons.
If you are requesting space in an area that is sold out or your
product is not compatible with other products already booked
in the same area, your application will be held and you will
be contacted later if space becomes available. If, at a later
date space becomes available, you will be mailed a license. Do
not solicit other vendors to share space in that doing so may
void your application.
Applications are not selected on a first come, first serve basis.
Selection criteria is based on, but not limited to: Space availability,
Product or Service, Representation of products / duplications
/similar items already at the fair, Booth presentation professional
in every aspect of business, References.
You must supply proof of general liability insurance of $500,000
with Washington County, Washington County Fair & Rodeo, it’s
staff, officials, agents and volunteers listed as additional
insured.
All applicants must include a photograph of the booth that will
be used at the Washington County Fair & Rodeo with their
application.
All vendors must keep their booth open and staffed at all times.
Fair hours are 10:00 a.m. to 11:00 p.m. daily.
When deciding on space size, keep in mind that your booth and
all property must be kept completely within the boundaries of
your assigned space.
Once payment has been made, cancellation of space or no-show
will result in the forfeit of all payments. Refunds will not
be made due to rain or if the vendor feels the event did not
meet their expectations.
You may not share or sublet your space with another business,
firm or person without advance written permission from Fair Management.
The grounds are patrolled 24 hours starting from the set-up
date until the day following the Fair. However, Fair Management
assumes no responsibility for goods left in the booth.
Fair Management must approve all items displayed or sold at
the Fair in advance. Items not listed on the application cannot
be displayed or sold.
There are no exclusives on any food or merchant items. However,
we try to minimize duplications.
Vendors may not have pets on the premises.
Cancellation of space or no-show, once payment has been made,
will forfeit all payments. Refunds will also not be made if the
vendor feels the fair did not meet their expectations. THERE
WILL BE NO EXCEPTIONS.
All food vendors operate on a guarantee, plus a percentage basis.
Percentages range from 20 % to 22.5%, depending upon the type
of menu and food items approved.
All food vendors must use an approved electric cash register
and are subject to random audits by Fair Food Concession representatives.
All food vendors must obtain a temporary restaurant license
from Washington County Department of Health, 155 North First
Ave MS-5, Suite 200, Hillsboro, OR 97124-3072, Phone (503) 648-8722.
Their representative will be on-site the day before the fair
opens.
